How Teaching Spaces handles visitor information. This sits alongside the University's central Privacy & cookies and Data protection pages, which cover University-wide processing.

You do not need an account

Every page is public. There is no login, and ordinary pages set no cookies.

What we measure

We count page views to understand which rooms and pages people look for. For each view the site records only:

• the date;
• the page address, with any search terms removed;
• which section of the site the page belongs to;
• whether the visit came from a University network;
• whether the page was refreshed in place rather than loaded afresh;
• a daily visitor code (see below).

Your IP address and browser details are used only for a moment, to work out the visit's network and daily code, and are never stored.

The daily visitor code

So that repeat views in one day are not counted as separate visitors, the site creates a scrambled code from the visit's technical details, using a random key that is generated fresh each day and never written to the database.

That key is discarded about a day after it is made. Once it is gone the codes cannot be recreated or reversed, even by us — so they cannot be turned back into an IP address, used to recognise you, followed between days, or linked to you as a person.

How long it is kept

Individual page-view records are deleted after about 30 days, once they have been rolled up. The daily and monthly totals that remain contain no visitor codes and are kept for long-term trends.

Those totals are shared with the University's Learning Spaces Datastore over an authenticated connection, so that room information and usage statistics sit together. The daily visitor code is never shared.

Video and other embedded content

Some news items embed a video player from the University's Media Hopper service. Playing a video loads content from that service, which may set its own storage and record its own statistics under its own terms. Pages without a video make no such request.

Photographs of rooms

Room photographs show teaching spaces, not people. They are reviewed before publication, and technical details such as location and camera information are removed. If a photograph shows something it should not, tell us through the support page and we will remove it immediately or the same working day.
